Who is responsible?

Property enquiries
We collect the name, email address, optional telephone number, property postcode, property condition and message you send us. We also record when you contacted us, your contact agreement and our follow-up notes. You can choose how much detail to share; please do not include tenants’ names, financial account details or other sensitive information in the initial form.
We use these details to respond, discuss a potential purchase and manage your enquiry. Where you ask us to take steps towards a purchase, we process the information for those pre-contract steps. For general correspondence, record management and website security, we rely on our legitimate interests in running a property buying business and preventing misuse. The form does not sign you up for marketing.
Website security and email
The website stores enquiries in a private database. Notifications are sent to our business Google mailbox when email delivery is connected. A hashed network identifier helps limit repeated form submissions. The hosting service may also record technical information such as IP addresses and request times for security and fault investigation.
Only people who need the information to deal with your enquiry, our hosting and email service providers, and advisers where necessary should receive it. If a purchase progresses, solicitors and other relevant professionals will need appropriate information. We may disclose information where required by law. We do not sell enquiry details.
How long we keep it
For enquiries that do not lead to a purchase, our retention period is 12 months after the last contact. We review and remove records when that period ends, unless we need particular information for a complaint, legal obligation or dispute. Purchase records are kept separately for the legal, accounting and transaction requirements that apply to them.
Deleting a website record does not remove existing correspondence from a mailbox. We apply the same enquiry retention approach to that correspondence. Restricted recovery copies may remain until the backup cycle expires; restored data must be checked against subsequent deletions.
Photos, case studies and client reviews
We publish client names, quotations, photographs and videos only with the appropriate permission. Please contact us if you want to withdraw permission for your testimonial. External YouTube or Vimeo players connect to that provider only after you choose to play a video; the provider’s own privacy terms then apply.
AI-assisted writing
Our staff can choose to send a short brief and a selected property photograph to Groq to help prepare website wording. Property enquiries are not automatically sent to the AI service. Staff must avoid identifiable people, private documents and confidential details in those briefs and photographs, and check wording before publishing.
Some email, video and AI providers process information outside the UK. Applicable provider terms and transfer safeguards govern those services. Contact us for information about the providers used for your enquiry. See Google’s privacy information and Groq’s data information.
Your choices and rights
Depending on the circumstances, you can ask for access to your information, correction, deletion, restricted use or a portable copy. You can object to processing based on legitimate interests and withdraw consent where we rely on it. These rights have conditions and exceptions.
